Transcript: Bulk Data Download Tour
Welcome to Data Vista. In this tutorial, we will walk through how to use the bulk data download tool, a feature that enables users to download multi-year data for more in-depth analysis and reporting. Now, the bulk data download tool is powerful because it is the only place that allows users to download multiple years of data into a single file, improving the efficiency of creating your own year-over-year analysis.
We'll start this tutorial on the Data Vista homepage. From here, we'll hover to the top ribbon and click on Data Views. Once clicking, the Data Views options will expand and from here select the Download Data section. This will take you to the data selection page. The bulk data download does follow the same data suppression rules that are used throughout Data Vista.
What this means is that the file will include aggregated multi-year data that is FERPA suppressed. To begin, choose your data from the Data View section. Data available includes metrics and specific program reports such as CAEP or Guided Pathways, or you can select from a broader collection of metrics organized by our student groups such as General Admit Cohort.
You can only make one data view selection at a time. From this step, select the years of data to include in your download. Be sure to choose all relevant years to ensure the file reflects the full range of data needed for your analysis. If the selection needs to be adjusted, simply remove a year by clicking the small X next to it.
Then you'll select your locale type. Options include college, consortia, county, district, as well as additional options. Again, you'll only be able to select one locale type at a time. You'll then choose the specific location based on your locale type. And finally, you'll select your preferred file format.
You can choose between CSV, which is a widely used format that is easy to open and compatible with most spreadsheet and data tools, or Parquet, which is a special file format designed for efficient data storage. After making your selections, click Submit. After submitting the data request, the page refreshes.
A status display is showing the current process and details of when your request was submitted. As you wait, let's say you want to see some resources that are related to the data that you pulled. Users can navigate away from the page and continue working elsewhere in Data Vista. As you browse the site, a small notification will appear letting you know the current status of the export.
When ready to download, users will be notified and can return to the export page to receive the data. Once your file is ready, the page will refresh and show a status of Completed along with request date and time details. Below the status, you'll see three clickable options along with the ability to request a new export.
Data will download the requested file. File specs will download documentation that explains the data structure and format of your export, and Definitions will download a metric definition dictionary export for the data that you selected. A few final options for users are located underneath, and this includes a Save for Later function.
This is especially useful for individuals who may leave DataVista entirely and want to return to the completed export page at any point. Lastly, underneath that clickable URL, you'll see the Recent Export section. This provides a space where you can quickly view and access files you have recently requested.
